Terms
For teachers using Flows With. Last updated 31 October 2026.
If you are booking a class, these are not your terms. You book and pay your teacher, not us. Her booking terms are on her own booking page, and the privacy notice explains what happens to your details.
Who these terms are between
Ashley Edwards, trading as Flows With (“Flows With”, “we”, “us”) and the teacher, instructor or business named on the account (“you”). Using Flows With means agreeing to them. Our trading address is on the agreement you sign and we will give it to you whenever you ask.
You are a business, not a consumer. You use Flows With for your trade or profession, so the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013 do not apply between us. They may well apply between you and your students.
What Flows With is
Software for publishing classes, taking bookings, selling and tracking class passes, and being paid for them.
We are a tool. We are not part of the agreement between you and your students. We do not teach, host, supervise, insure or vet classes, and we do not sell class passes. Everything a student buys, they buy from you.
Your account
During early access we create accounts for named people rather than by self-service, and we may decline or withdraw access.
Your account is yours to look after, including your password and anything done through it. Tell us at hello@flowswith.com if you think someone else has got into it. One account is for one teaching business, and is not to be shared or resold.
Money: who sells, who is paid, who refunds
This is the most important section here, because it is the one most easily misunderstood.
- You are the seller. When a student pays for a class or a pass they are buying from you. You set the prices, the cancellation terms and the pass validity.
- The money goes to you, not to us. Card payments are taken through Stripe on your own Stripe account and settle to your bank under your own arrangements with Stripe. Student money never passes through our account at any point.
- We take no percentage. No commission, no booking fee, no cut of anything a student pays. Stripe’s processing fees are charged to your account and are between you and Stripe.
- Refunds are yours to give. We never refund a student automatically. Where a cancellation means money back, we flag it and you issue it from your Payments screen. So we cannot refund a student who asks us to — we do not hold their money — and if your Stripe account is closed or empty we cannot make a refund happen.
- Cash and bank transfers. Where you mark a class or pass as payable in person, we record that you say you were paid. We do not handle, hold, verify or chase that money.
- Chargebacks are raised against your Stripe account and are yours to answer.
What you pay us
Early access is free. While your account is in early access you pay us nothing.
After that the subscription is £14.99 a month. We will give you at least 30 days’ notice by email before we first charge you, and you may close your account in that time having paid nothing.
No VAT is added — we are not VAT registered, so £14.99 is £14.99. Everything is included: no per-booking fees, no tiers, no charge per student, no charge per feature. The subscription runs month to month; cancel whenever you like and it ends at the end of the month you have paid for. We do not refund part months. Price changes take 30 days’ notice and you can cancel instead.
If a payment fails we will tell you and try again. Still unpaid after 14 days and we may suspend the account. Suspension stops you using the dashboard. It deletes nothing, and your students’ bookings and pass balances stay intact. We will not delete an account for non-payment without 30 days’ written notice.
What you are responsible for
- Your students: telling them your cancellation terms, honouring them, and dealing with them fairly and in line with consumer law.
- Your classes: being qualified, insured and lawful, and health and safety where you teach. We check none of this.
- What you put in: having the right to the names, photographs and text you upload, and the right to hold your students’ details.
- Your duties as the controller of your students’ data.
- Your own tax and accounting. We are not your accountant and the figures on your dashboard are not accounts.
Flows With is not to be used for anything unlawful, for unsolicited marketing, to store sensitive data you do not need, or to attack or overload the service.
Data protection
For your students’ personal data you are the controller and we are the processor. Our Data Processing Agreement sets out what we do with it, the security measures, the sub-processors — Stripe, Postmark, Vercel, Neon, Sentry and Vercel Blob — breach notification and deletion when we part. It forms part of these terms, you accept it when you create your account, and it is published in full at flowswith.com/dpa.
For your own details as the account holder we are the controller, and the privacy notice explains that. Before you move data across from another system, you need a lawful basis for giving us your students’ details, and we process them only to carry out the move.
Your data is yours
Export your classes, customers, bookings and pass balances whenever you like, from Settings, in a form you can read and take elsewhere.
If you leave we will give you an export on request and then delete or anonymise your data as the DPA says. We will not hold your data hostage, charge you to leave, or make the export worse than the import.
What we will and will not promise
Support. We answer at hello@flowswith.com within one working day. We intend to keep that promise; it is most of the reason this exists.
Availability. We will take reasonable care to keep Flows With running and your data safe — encrypted connections, hashed passwords, daily backups, data held in the UK. We do not offer an uptime guarantee, and during early access you should expect the occasional interruption. If an outage stops your students booking, take the booking yourself and enter it afterwards.
We do not promise the software will suit how you teach, fill your classes or earn you money. We will keep developing it, and will not take away something you rely on without telling you first.
Liability
Nothing here limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited.
Subject to that, and because you are a business and not a consumer:
- We are not liable for loss of profit, business, goodwill or anticipated savings, or for indirect or consequential loss.
- We are not liable for a student’s conduct or non-payment, for your cancellation terms or how you apply them, for injury at a class, for Stripe’s decisions about your account or payouts, or for money that never reached us because it never does.
- Our total liability for everything in any twelve-month period is capped at the greater of the fees you paid us in that period, or £150.
That cap is low, and deliberately so: the subscription is £14.99 a month and could not support open-ended liability. We carry professional indemnity and cyber insurance, which is there to meet claims within these limits rather than to extend them.
You will indemnify us against claims by your students arising from your classes, your cancellation terms, or your handling of their data.
Ending it
You may close your account at any time. We may end this agreement on 30 days’ written notice. Either of us may end it immediately if the other is in material breach and has not put it right within 14 days of being asked, or becomes insolvent.
If we ever stop offering Flows With altogether, we will give at least 90 days’ notice, keep it running for that time, and make sure you can get your data out. Your students’ bookings and pass balances are your obligation to them, and an export is how you keep meeting it.
The rest
Changes to these terms take at least 30 days’ notice by email for anything that matters, and you can cancel instead. You may not transfer your rights without our consent; we may transfer ours if we reorganise or sell the business, and will tell you. These terms, the DPA and the privacy notice are the whole of what is agreed — nothing said on the marketing pages adds to them, though we mean them to say the same thing. If a clause fails, the rest stands.
Governed by the law of England and Wales, in the courts of England and Wales.
